Work Pattern: Mon-Fri 9am-5:30pm

MAIN PURPOSE OF POST:

The IT Office Administrator provides support and coordination of procurement and asset management to the IT department, manages department level communications and business compliance, as well as ensuring the efficient execution of the department's daily activities.

MAIN DUTIES WILL INVOLVE THE FOLLOWING:

  • Provide overall administrative support to the IT department.
  • ​Manage procurement activities for IT. Raise purchase orders, track deliveries, and manage invoicing.
  • Provide support for day-to-day contract management, ensuring compliance with LLA procurement and finance processes.
  • Monitor and track department-level Health & Safety compliance requirements.
  • Organise IT staff training in coordination with IT team managers and maintain training and certification records.
  • Organise and minute formal IT meetings in a compliant & detailed manner.
  • Assist the IT Compliance Officer with completing tasks and creating procedures so that the IT department complies with internal processes and legal obligations.
  • ​Administer the content of the IT intranet. Coordinate and create documentation and communications for new services and changes to the department, in conjunction with the IT teams.
  • Support Executive Assistants in organising business meetings, department reviews and new business initiatives.
  • To provide recommendations for service improvements to the IT Departments’ processes.
  • Responsibility for the health, safety and wellbeing of yourself and colleagues in the workplace; supporting our journey to create an open and honest wellbeing culture at LLA.
KEY REQUIREMENTS FOR THE ROLE:
Essential
  • Experience of working as an Administrator in a fast-paced environment.
  • Good computer skills, particularly with Microsoft Office products.
  • Understanding and experience of end-to-end procurement processes.
  • Ability to monitor deadlines and KPIs of teams.
  • Excellent relationship management skills, ability to build strong relationships.
  • Excellent communication skills (verbal and written).
  • Well organised, adaptable, and able to balance priorities.
  • Willing to invest time, effort, and energy to learn & develop new skills and capabilities.
Desirable
  • Experience working with finance and billing systems.
  • Experience in a regulated environment.

You will be required to pass a range of referencing and vetting checks, including a Criminal Record Check and for certain roles a Counter Terrorism Check. You must also have lived in the UK for at least 3 years with a 5-year work history, unless in education.
