Prebook Security - London Luton Airport terms of use

1. Information about us and contact details

1.1. Who we are.

We are London Luton Airport Operations Limited a company registered in England and Wales. Our company registration number is 03491213 and our registered office is at Percival House, 134 Percival Way, London Luton Airport, Luton, Bedfordshire, LU2 9NU.  LLA provides the Prebook Security service with its authorised subcontractors and/or agents.

1.2. Who acts on our behalf

Services relating to the booking of the Prebook Security service are provided by Copenhagen Optimization Aps, acting solely as a data processor, through the Prebook Security booking site found at https://ltn.seamless.aero.  The booking site is owned and operated by Copenhagen Optimization Aps, Klerkegade 19,3. 1308 Copenhagen K, Denmark (“Copenhagen Optimization”), and Copenhagen Optimization acts for LLA as stated in these terms.

1.4. How we may contact you.

If we have to contact you, we will do so by telephone or in writing to you using the contact information you may provide to us.

1.5. “Writing” includes emails.

When we use the words “writing” or “written” in these terms, this includes emails.

2. These terms

2.1. Who is covered by these terms.

These terms apply to you if you book the Prebook Security service for use at London Luton Airport.  They also apply to persons who you have included in your booking.

2.2. What these terms cover.

These are the terms and conditions on which we provide the Prebook Security service at London Luton Airport to you and any person who uses the Prebook Security service.   

2.3. Why you should read them.

Please read these terms carefully before you use the Prebook Security service. These terms tell you who we and Copenhagen Optimization are, how the service will be provided to you and other important information. If you think that there is a mistake in these terms, please contact us. You must comply with these terms when you use the Prebook Security service.

3. The prebook security service

Details of the Prebook Security Service

3.1. We are trialling a virtual queuing service that allows passengers on selected flights from the Airport to pre-book a time slot granting access at a designated entry point to the Airport’s security check area. The Prebook Security service is available between 03:00 – 15:00.  We may change these timings at any time.  

3.2. There is no charge to use the Prebook Security service.  The Prebook Security service is subject to availability.

3.3. Only certain airlines and flights allow you to book the Prebook Security service, and this is subject to change.  If your flight is not showing on the booking form found on the booking site, then you are unable to book the Prebook Security service.

Special Assistance

3.4. If you are a special assistance passenger, you do not need to use the Prebook Security service and should book special assistance where access to the security area will be managed through the special assistance route.  Details of special assistance and how to book assistance can be found here www.london-luton.co.uk/special-assistance-landing

4. Making a booking

How to make a booking

4.1. Bookings can be made via the Prebook Security booking site at https://ltn.seamless.aero from 4 days (including the day of your flight) before your flight.  Bookings stop 60 minutes before your flight.

4.2. You can book for yourself and up to 9 other persons on the same flight.  You will need to include all persons from the same flight booking in your Prebook Security service booking.  You do not need to count children under the age of 3 in your booking.

4.3. You will need to enter date, destination, airline, flight time, party size, appointment time and details of the lead passenger making the booking – please check all details are correct before confirming your booking.

4.4. On acceptance of your booking, a QR code will be displayed on the booking site.  You will also receive confirmation from Copenhagen Optimization including the QR code to the email you provided at the time of booking.   A contract on these terms will come into existence between you and us on our acceptance of the booking.

4.5. Your booking is not transferable to anyone else, nor can your booking be sold by you for any financial gain.

4.6. You will need to cancel your booking if your flight is cancelled. 

How to amend or cancel a booking

4.7. You may amend or cancel your booking at any time in accordance with the process set out in your confirmation email.  If you no longer wish to use the Prebook Security service after booking, we kindly ask that you cancel the booking so that booking slots are available for our other passengers to use.

4.8. Please cancel your booking if your flight is cancelled.

5. Using the prebook security service at the airport

Once you have made a Prebook Security booking

5.1. Follow the wayfinding signs to the ‘Prebook Security’ entry lane to the security area (or such other area London Luton Airport may designate from time to time as a Prebook Security service access point). 

5.2. You will still need a valid boarding pass to access the security area.

5.3. Have the QR code you received after making your booking available on an electronic device (or have a printed out copy of the QR code) for scanning.

5.4. Entry to the designated entry point is granted 15 minutes before and 15 minutes after the reservation time.  All passengers from the same booking must attend the Prebook Security entry lane at the same time. 

5.5. Once your QR code is scanned and accepted, you will be helped to access the front of the security search area queue.

5.6. Your QR code is only valid for a single use for the flight stated in the booking.

Fast Track

5.7. Bookings for the Prebook Security service do not allow you to use the Fast Track security lanes. Bookings for the Prebook Security service do not allow you entry to a specific or dedicated security lane.

Leaving enough time

5.8. We strongly recommend that you allow enough time to go through the check-in and security process at London Luton Airport and allow for this when making your Prebook Security booking.  You should allow at least two hours before your flight is due to depart to proceed through the security screening area. We (nor our subcontractors or agents, including Copenhagen Optimization) will be responsible to you in the event that you miss your flight due to any time spent using the Prebook Security service.

No guarantee

5.9. Due to changing operational demands and security requirements, including emergencies and events beyond our control, we do not guarantee:

5.9.1. that the Prebook Security service will be available for booking or for use on your arrival;

5.9.2. the time it will take to use the Prebook Security service;

5.9.3. the time it will take to undertake security checks through the security area;

5.9.4. that there will be a maximum or minimum length of queue to use the Prebook Security service;

5.9.5. that others without a Prebook Security booking will be prohibited from using the Prebook Security entry lane; or

5.9.6. that using the Prebook Security service will be quicker than our standard security service.

Security checks

5.10. Once you have entered the security search area you will be subject to the same security checks and restrictions which apply to all passengers. You will be informed of our security checks and restrictions on your arrival to our security area. For further information please visit our website www.london-luton.co.uk

Refusal of entry

5.11. We are required to ensure that London Luton Airport operates safely and securely for all passengers. We therefore retain the right to refuse you, or anyone in your booking, entry to our Prebook Security service entry lane/or admittance through any security area if we consider it appropriate to do so.

6. Our responsibility for loss suffered by you

6.1 Limits on our exclusion of liability.

Nothing in these terms excludes or limits our liability to you if it would be unlawful to do so, including our liability for fraud, fraudulent misrepresentation or death or personal injury caused by our negligence.

6.2. We are not responsible for loss and damage not caused by us.

Except as set out above (see “Limits on our exclusion of liability”), we have no liability to you for any damage to, or theft or loss of, your property, or for injury to you, which is caused by another person (other than one of our employees acting in the course of their employment), or by events, weather, conditions or circumstances not caused by us.

6.3. We are not liable for business losses.

Except as set out above (see “Limits on our exclusion of liability”), if you use the Prebook Security service in connection with any commercial or business purpose we have no liability to you for any loss of profit, loss of revenue, loss of business, business interruption, wasted expenditure, loss of anticipated savings, loss of or damage to goodwill, loss of contracts, loss of business opportunity or for any indirect or consequential or special loss or damage, you may incur in connection with such use or which is otherwise caused by us.

6.4. We are not responsible for unforeseeable loss and damage caused by us.

Except as set out above (see “Limits on our exclusion of liability”), if we have caused you loss or damage in connection with your use of the Prebook Security service we are not liable to you for any loss or damage that is not foreseeable. Loss or damage is foreseeable if it is obvious that it will happen or if, at the time these terms are entered, both we and you knew it might happen.

6.5. What we may be responsible for.

We may, depending on the circumstances, be liable to you for some foreseeable loss or damage you suffer caused by us breaching these terms or a legal right that you have in connection with your use of the Prebook Security service except if that loss or damage could have been avoided by you using reasonable steps (including those we may suggest to you).

7. How your personal information may be used

7.1. We and Copenhagen Optimization collect personal information when you make your booking. 8.  Other important terms

8.1. We may transfer this agreement to someone else. We may transfer our rights and obligations under these terms to another organisation.

8.2. You need our consent to transfer your rights to someone else. You may only transfer your rights or your obligations under these terms to another person if we agree to this in writing.

8.3. Nobody else has any rights under this contract. This contract is between you and us. No other person shall have any rights to enforce any of these terms. Neither of us will need to get the agreement of any other person in order to end the contract or make any changes to these terms.

8.4. If a court finds part of this contract illegal, the rest will continue in force. Each of the paragraphs of these terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.

8.5.  We may change these terms from time to time.  You should check these terms each time you wish to make a booking for the Prebook Security service.  Please also check your booking carefully. 

8.6. Even if we delay in enforcing this contract, we can still enforce it later. If we do not insist immediately that you do anything you are required to do under these terms, or if we delay in taking steps against you in respect of your breaking this contract, that will not mean that you do not have to do those things and it will not prevent us taking steps against you at a later date.

8.7. These terms are governed by English law and you can bring legal proceedings in the English courts.
